IdaMil™ LLC ("IdaMil," "we," "us," or "our") operates the Aequis™ family law practice management platform. This Privacy Policy describes how we collect, use, store, and protect your information when you use our services.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, firm name, bar number (optional), and billing information. Authentication is managed through our identity provider, Clerk.
Case & Client Data
You may upload or enter case information, client records, documents, financial data, and other materials related to your family law practice. You retain full ownership of all such data.
Usage Analytics
We collect anonymized usage data including feature usage patterns, session duration, and error reports to improve our platform. This data is never linked to individual case records.
Cookies & Tracking
We use essential cookies for authentication and session management. We do not use third-party advertising cookies. Analytics cookies are used only with your consent.
2. How We Use Your Information
We use your information to provide and maintain the Aequis platform, process billing and subscription management, send service-related communications (outage notices, security alerts, billing confirmations), improve platform performance and develop new features, and comply with legal obligations. We do not sell, rent, or share your personal information with third parties for marketing purposes.
3. Data Storage & Security
All data is encrypted at rest using AES-256 encryption and in transit using TLS 1.3. Our infrastructure is hosted on Supabase, which maintains SOC 2 Type II certification. We implement role-based access controls, audit logging, and regular security assessments. Database backups are performed daily and stored in geographically distributed, encrypted storage.
4. Third-Party Services
Aequis integrates with the following third-party services, each governed by their own privacy policies: Clerk (authentication and identity management), Supabase (database infrastructure and real-time services), and Stripe (payment processing and subscription billing). We carefully vet all third-party providers for security and privacy compliance before integration.
5. Family Law Data Sensitivity
We recognize that family law data is uniquely sensitive, often involving custody arrangements, domestic violence records, financial disclosures, and matters affecting children. We apply heightened protections to this data, including strict data isolation between firms (no firm can access another firm's data), enhanced access controls for domestic violence and child welfare records, and no use of client case data for AI model training or any purpose beyond direct service delivery to your firm.
6. Data Retention
We retain your data for as long as your account is active. Upon account cancellation, we provide a 30-day window for data export. All data, including backups, is permanently deleted within 90 days of account cancellation. You may request immediate deletion at any time by contacting us.
7. Your Rights
You have the right to access all personal data we hold about you, correct any inaccurate information, request deletion of your data, export your data in a machine-readable format, and opt out of non-essential communications. 8. Children's Privacy
Aequis is a professional legal software platform and is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and sending an email notification at least 30 days before the changes take effect. Your continued use of Aequis after the effective date constitutes acceptance of the updated policy.
